Recruitment Experience Specialist

Purpose: To promote the College experience to prospective students and coordinate all campus visit related events

Classification: Mid-Management Non-exempt/Bargaining Unit

Level: II

Supervises: Student Workers

Reports To: Director of Recruitment

Principal Working Relationships: Director of Recruitment, Senior Vice President of Student Services, Coordinator of Recruitment and Dual Credit, Dean of Student Success, Admissions Recruiter, Faculty, Staff and Students

Major Responsibilities 

  1. Responsible for a general knowledge of all academic programs at the College. Demonstrates ability to communicate specific College information including academic programs, enrollment process, student support services, and policies to prospective and current students.
  2. Maintain and process applications through Slate CRM for admission and establish electronic student files.
  3. Prepare admission materials including: admissions packets, viewbooks, high school visit posters, postcards, admission letters, flyers, brochures, and academic program materials for prospective students.
  4. Serve as the initial point of contact for prospective students and their families/guests, school counselors, and community based organizations.
  5. Plan, execute, and evaluate all campus visit programming including: reservation/confirmation process, agenda creation, individualized packets of information for the student, and day of visit duties.
  6. Correspond with faculty and staff to coordinate campus visits, virtual appointments, and group visits for prospective students, schools, and community based organizations. Includes but is not limited to meetings with Academic Advisors, Coaches, Faculty, and classroom observations.
  7. Maintain a yearly visit calendar by providing dates staff may or may not be available, acquiring knowledge of other events on campus or within the community, class times by semester, and other details required to secure successful visits.
  8. Working knowledge of Slate CRM in order to track and communicate with prospective students, parents, schools, and community based organizations.
  9. Analyze and interpret admission and event statistics.
  10. Oversee the hiring, onboarding, and scheduling of the Welcome Center student employee.
  11. Other duties as assigned.

Assists With

  1. Scheduling appointments for recruiters and follow up correspondence.
  2. Reports for SEM.
  3. Counselors and Retention Specialist projects as needed.
  4. Assist with departmental assessment and establishment of key performance indicators based on the strategic plan.

Risk Management and Loss Prevention Activities 

  1. Actively participate and carry out activities related to and in support of the College’s Risk Management Program in a capacity appropriate to this position.
  2. Monitor conditions, events, and circumstances present in the college operation to avoid potential torts or injuries to students, staff, or the general public, and then communicate observations to the appropriate supervisor and/or Risk Management Committee.
  3. Maintain a working knowledge of the college’s emergency procedures and how to operate emergency phone systems; including internal/external call boxes.

Minimum Necessary Skills, Experience, and Educational Background

  1. High school diploma or GED required; Associate degree or 60 semester hours of college credit preferred and a minimum of two years of related experience preferred.
  2. Higher education experience preferred.
  3. Working knowledge of business records management, computer systems and PC Software—word processing and data base management.
  4. The ability to communicate successfully with clients of all ages, socio-economic status, sex, or race.
  5. Good oral and written communication skills.
  6. Able to work under pressure.
  7. Willingness to work a flexible schedule with some evening and Weekend hours required.
  8. Spanish or French proficiency preferred.

Physical Requirements to Perform Job Functions 

  1. Must have visual and hearing capabilities with/without correction.
  2. Basic dexterity skills (computer work, telephoning).
  3. General physical effort required includes standing, walking, some bending, lifting and reaching.
