Administrative Computing Information Manager

Purpose: Develop, maintain, create, and manage computer programs necessary to meet the college’s users’ needs.

Classification: Mid-Management, Non-Exempt/Non-Bargaining
Level: III
Reports To: Coordinator of Administrative Computing

Principal Working Relationships: Coordinator of Administrative Computing, Director of Technology Services and Information Security, Senior Vice President of Student Services, Dean of Student Success, Director of Financial Aid, Coordinator of the Testing Center, other Administrative Computing Personnel, Students, Faculty, and Staf

Major Responsibilities 

  1. Lead as primary technical support for Administrative Computing system-related software.
  2. Serve as backup technical support for the Coordinator of Administrative Computing and Administrative Computing Programmer/Analyst and contact for Student, HR, Financial Aid and Business Office Administrative Software Functions. 
  3. Lead the institution with collecting and organizing data required for data driven decision-making.
  4. Manage user accounts in Active Directory and Office 365 by creating, changing or disabling accounts on both the Staff/Faculty and Student domains; Also assigning users to security and/or distribution groups as well as assigning security classes for Administrative Software access.
  5. Responsible for all aspects of the Data Assurance policies, procedures and regulations.
  6. Provide assistance and training to management and staff for effective use of the Administrative Computing system.
  7. Responsible for routine system upgrades of the Administrative Computing System as well as the creation of programs to extract data accordingly. Ensure privacy and security of sensitive user information.
  8. Assist the Coordinator of Administrative Computing and Administrative Computing Programmer/Analyst with departmental responsibilities.
  9. Participate in the establishment of strategic initiatives and the assessment of the department’s key performance indicators.
  10. Import and export data into or from Administrative Computing system-related software as needed.
  11. Maintain process and procedure documentation.
  12. Maintain and update Starfish, to include resolving issues to the data-pump on the local Starfish Server. 
  13. Assist with day to day office procedures.
  14. Assist with Administrative Computing operations and the production of end user reports.
  15. Other duties as assigned.
Risk Management and Loss Prevention Activities
  1. Actively participate in and carry out activities in support of the College’s Risk Management Program in a capacity appropriate to this position.
  2. Monitor conditions, events, and circumstances present in the college operation to avoid potential torts or injuries to students, staff, or the general public, then communicate observations to the appropriate supervisor and/or Risk Management Committee.
  3. Monitor and assist with backup procedures for protection of data.
  4. Maintain a working knowledge of the college’s emergency procedures and how to operate emergency phone systems; including internal/external call boxes.
Minimum Necessary Skills, Experience, and Educational Background
  1. Associate Degree or related specialized training with three years work experience required. Bachelor’s degree preferred.
  2. Knowledge of databases, database query languages and programming languages.
  3. The ability to communicate successfully with clients of all ages, socio-economic status, sex, or race. 
  4. Good verbal and written communication skills.
  5. Good organizational and time management skills.
  6. Some evening and/or weekend work and travel may be required. 
  7. Spanish or French proficiency preferred. 
Physical Requirements to Perform Job Functions
  1. Basic manual dexterity skills (computer work, telephoning, etc.)
  2. Sitting for sustained periods of time.
  3. Vision - to analyze data.
